Privacy Policy

StockJazz is inventory and order management software for businesses, operated by Kakariki Technology Limited (“Kakariki”, “we”, “us”) of New Zealand. This policy explains what information StockJazz handles, why, and what choices you have. It covers the StockJazz application and the StockJazz integration with Google Drive and Google Sheets.
Who the information belongs to
StockJazz is used by businesses to run their own operations. The business that subscribes to StockJazz controls the information held in its account — its products, customers, orders and staff records. Kakariki processes that information on that business’s behalf. We do not sell it, rent it, or use it to build advertising profiles.
What we collect
- Account information — the names, email addresses and roles of the staff members a subscribing business sets up in StockJazz, so they can sign in and so we can contact them about the service.
- Business records — the inventory, purchasing, sales and customer records the business enters into or imports into StockJazz.
- Technical logs — records of requests made to the service, kept to keep it running, diagnose faults and detect misuse.
How StockJazz uses Google Drive and Google Sheets
StockJazz can turn a report into a Google spreadsheet in the business’s own Google Drive. This is optional. It does nothing until an administrator of the business connects a Google account by pressing “Connect Google” in StockJazz and approving access on Google’s own sign-in page.
What we ask Google for. StockJazz requests a single permission,
https://www.googleapis.com/auth/drive.file. Google describes this as access to “only the
specific Google Drive files you use with this app”. In practice that means StockJazz can create new
spreadsheets, and can read and edit the spreadsheets it created itself. It cannot see, open, download,
change or delete any other file in that Google Drive.
What we do with it. The permission is used for exactly one thing: creating a spreadsheet that contains a report a member of staff asked for, filling it in, and sharing it with that member of staff’s own work email address. Every such spreadsheet is created in the connected Google account’s Drive and is owned by that business, not by us.
What we store. We store the email address of the connected Google account and the long-lived authorisation Google issues, so that later exports do not need approving again. The authorisation is held encrypted. We do not store the contents of any spreadsheet, and we do not keep a copy of the exported report.
Google user data is never used for anything else. Data obtained through Google APIs is not used for advertising, is not sold or transferred to third parties, and is not used to train generalised artificial intelligence or machine learning models. StockJazz’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Turning it off. An administrator can press “Disconnect” in StockJazz at any time, which revokes the authorisation and deletes it from our systems. Access can also be removed from the Google account itself at myaccount.google.com/permissions. Spreadsheets already created are not affected — they belong to the business and stay in its Drive.
Other services we use
StockJazz relies on a small number of suppliers to operate: hosting providers who run the servers, email delivery services, payment providers, and — where a business enables them — accounting, shipping and support integrations it has chosen to connect. These suppliers handle information only as needed to provide their part of the service.
Where StockJazz offers assistance features that use a third-party language model, the information sent is limited to what is needed to answer the request, and it is not used by us to train models.
How long we keep it
Business records are kept for as long as the business subscribes to StockJazz, and for a limited period afterwards so that an account can be restored or handed over. Technical logs are kept for a shorter period. A subscribing business can ask us to delete its data, and we will do so except where we are required by law to retain it.
Security
Access to production systems is restricted to the people who need it. Credentials and authorisations, including the Google authorisation described above, are held encrypted. Information is transmitted over encrypted connections.
Your choices
If you are a member of staff at a business that uses StockJazz, ask that business’s administrator to correct or remove your details. If you are that administrator, or you would rather contact us directly, write to us at the address below and we will help.
Changes
If this policy changes materially we will update the date at the top of this page and, where the change affects how information is handled, tell subscribing businesses directly.
